Task 1 of 4 · In Acuity

Create the hidden question

Joyal needs a way to recognise which of your customers made a booking. To do that it quietly adds a code to each booking, and that code needs somewhere to live. You are about to build that somewhere: a small form with a single question that your customers will never see.

1

Open Intake Form Questions

In Acuity

In the menu down the left-hand side, click Intake Form Questions. Then click the dark NEW CUSTOM FORM button.

2

Name it Joyal Code

In Acuity

In the FORM NAME box at the top, type Joyal Code. Spelling matters here, because you will need to find this name again in Task 3. Leave the description box empty.

The Acuity form editor with Joyal Code typed into the form name field, marked — **Acuity**The form name is the only thing on this screen so far.

3

Add a Textbox question

In Acuity

On the left under Add Questions you will see a list of question types. Click the first one, Textbox. A new empty question appears on the right.

4

Call the question Token, and make it required

In Acuity

Type Token as the question, then tick Required. Spelling matters here too. Leave the size as it is, and click Save Question and Form.

The question named Token with the Required box ticked, marked — **Acuity**Token, with Required ticked.

5

Tick Internal Use Only

In Acuity

This is the tick that hides the question from your customers. Find Internal Use Only on the left and tick "This form is for internal use only, don't show it to clients".

Acuity will now show a red message asking you to choose which appointment types the form applies to. That is expected, and the next step answers it.

Internal Use Only ticked in Acuity, marked, with a red prompt about appointment types — **Acuity**The red message is Acuity's, not ours. It is a prompt, not an error. Keep going.

6

Tick every service that should earn points, and save

In Acuity

Under Show this form when scheduling you will see a list of your services. Tick every service you want to earn points. If you are not sure, tick them all. Then click Save Form.

If you add a new service later Come back to this form and tick it, otherwise bookings for that service will not earn points.

Task 2 of 4 · Joyal, then Acuity

Send your bookings to Joyal

Acuity already emails you every time somebody books. All you are doing here is adding a second address to that email, so Joyal gets told at the same moment you do.

7

Find your booking email address

In Joyal

Open your Joyal app and go to Settings, then open Booking. Go to Points for bookings, and then open Acuity connection. While the setup is unfinished, an amber Not finished tag sits beside it.

The Acuity connection section open in the Joyal app, marked — **Joyal, then**Inside it, at the bottom: Acuity connection.

Close-up of the booking email address with the copy button marked — **Detail**Your address is unique to your business, and ends in `@bookings.joyal.co`. The copy button is on the right.

If you cannot see Points for bookings Switch Booking on first, with your Acuity booking link saved.

8

Copy it

In Joyal

Tap the copy button to the right of the address. It turns into a green tick, which is how you know it worked. If you would rather not use the button, you can select the address and copy it by hand instead.

The copy button showing a green tick after being tapped, marked — **Detail**A green tick means the address is on your clipboard.

Worth doing next Paste it somewhere safe for a moment, such as a note to yourself, because you are about to need it more than once if you have several calendars.

9

Open your calendar settings

In Acuity

Back in Acuity, click Availability in the left-hand menu, then Calendars. Find the calendar you take bookings on and click CALENDAR SETTINGS.

The Acuity left-hand menu with Availability marked — **Acuity**The left-hand menu. Availability is the third item.

The Calendars list in Acuity with the Calendar Settings button marked — **Acuity**Then Calendars, and Calendar Settings on the calendar you want.

10

Add the address after a comma

In Acuity

In the window that opens, scroll to SEND BOOKING NOTIFICATIONS TO. Your own email address is already in there.

Do not delete it. Click at the very end of what is already written, type a comma, then paste the Joyal address straight after it with no space. Then click SAVE.

The Calendar Settings window in Acuity with the notifications field marked — **Acuity**The whole Calendar Settings window. Leave "Send replies to" exactly as it is.

The booking notifications field showing two addresses separated by a comma, marked — **Detail**Your address, a comma, then the Joyal address. Acuity's own note underneath says the same thing.

The most common mistake People replace their own address instead of adding to it. If you do that, you will stop receiving your own booking emails. What you want is both addresses in the box, separated by a comma.

11

Repeat for every calendar

In Acuity

If you have more than one calendar, do the last two steps again for each one. A calendar you miss will keep taking bookings perfectly well, but none of them will earn points, and nothing will warn you.

If you only have one calendar, there is nothing to do here.

Task 3 of 4 · In Acuity

Find your two ID numbers

Two numbers travel back the other way, from Acuity into Joyal. Neither is secret and neither is a password. They are just labels, and Acuity does not put them anywhere obvious, so this task is mostly about knowing where to look.

12

Open your booking confirmation email

In Acuity

Click Emails & Texts in the left-hand menu, then under Client Emails choose Booking Confirmation. You are not going to change this email. You are only borrowing a menu inside it.

The Acuity left-hand menu with Emails and Texts marked — **Acuity**Emails & Texts, near the bottom of the menu.

The Booking Confirmation email in the Acuity client emails list, marked — **Acuity**Booking Confirmation, the first row under Confirmations.

13

Read your hidden question ID

In Acuity

In the toolbar above the email, click Insert Field.

The Insert Field button in the Acuity email editor toolbar, marked — **Acuity**Insert Field, in the toolbar above the email.

A menu drops down. Scroll to the bottom, past Intake Form Answers, and you will find Joyal Code with Token underneath it.

Beside Token you will see something like %form:19189320%. The digits in the middle are your hidden question ID. Write them down. Ignore the percent signs and the word form.

The Insert Field menu showing Joyal Code and Token with the form ID marked — **Detail**Here the ID is `19189320`. Yours will be a different number.

Once you have the digits written down, close the email with the CLOSE link at the top left. Do not click Save. You have not changed anything, and there is nothing to keep. That finishes this step.

If Joyal Code is not in this list The form did not save, or no services were ticked. Go back to Task 1 and check both.

14

Read your Acuity account ID

In Acuity

Click Integrations in the left-hand menu, scroll down to the card headed API, and click VIEW CREDENTIALS.

A panel slides out. The number beside User ID is your Acuity account ID. Write it down.

The Acuity left-hand menu with Integrations marked — **Acuity**Integrations, below the divider.

The API card in Acuity with the View Credentials link marked — **Acuity**Find the API card and click VIEW CREDENTIALS.

The API panel in Acuity showing the User ID, marked — **Detail**Here the account ID is `40342979`. The panel says the API is a premium feature, but your User ID is readable on every plan.

Stop and read this Directly underneath User ID, this same panel shows an API Key. That one is a password. Joyal does not need it, will never ask for it, and you should not send it to anybody. Copy the User ID only.

Task 4 of 4 · In Joyal

Switch it on

Back to your phone. Two numbers to type, one save, and one switch.

15

Type both numbers in, and save

In Joyal

In the same Acuity connection section you used earlier, find Your Acuity details. Put the number from Step 13 into Hidden question ID, and the number from Step 14 into Acuity account ID.

A blue Save details button appears once you start typing. Tap it to keep your numbers.

Both ID fields filled in with the blue Save details button marked — **Detail**Both numbers in, and the Save details button showing.

16

Turn the switch on

In Joyal

Scroll back to the top of the Points for bookings section. Until now the dot has been amber and the switch greyed out. Once your details are saved the switch comes to life. Turn it on.

The status line reading Not connected yet with a greyed out switch, marked — **Before**Amber dot, switch greyed out.

The status line reading On and working with the switch on, marked — **After**Green dot, switch on, and a note saying when the last booking email arrived.

Last thing

Make a test booking

Do not skip this. It takes five minutes and it is the only way to know the whole chain works, rather than just looking like it does.

You do not have to spend much If you would rather not pay full price to test your own business, make a temporary appointment type in Acuity priced at a euro, tick it on your Joyal Code form, and book that. It proves exactly the same thing. Delete the appointment type afterwards.

Book through your own app, not through your Acuity link directly. Open your Joyal app as a customer would, go to the Booking tab, and book a real slot.
Book a service that has a price on it. The points are worked out from the price Acuity puts on the booking, so a free service earns nothing and proves nothing.
Go back to Settings, Booking, Points for bookings. Your booking should now be sitting under Upcoming, with the points it will earn shown beside it.
Check the line at the top says "On and working" with a green dot, and underneath it, that the last booking email arrived just now.
Cancel and refund your test booking in Acuity once you are happy.

The Points for bookings panel with a green dot and bookings listed — **Joyal**This is what a working setup looks like: green dot at the top, your bookings listed, and Acuity connection showing Connected.

What the top line is telling you That one line is the whole health check, so it is worth knowing what it means. "On, waiting for a first booking" means Joyal has never received a single booking email from Acuity. "On and working" means one has arrived, and says when. So if days pass, real bookings come in, and it still says waiting for a first booking, your Joyal address did not make it into Acuity. Go back to Step 10.

If nothing appears Give it two or three minutes first, because the email has to travel. If it still has not arrived, the cause is almost always Step 10: either the Joyal address was not saved into the calendar, or it went into the wrong calendar. Go back and check the calendar you actually booked against.

Notes

Things worth knowing

None of these need action today. They explain how the feature behaves once it is running, and they are the things owners ask about in the first fortnight.

Passes, packages and memberships A booking paid for with a pass, a package, a membership or a 100% discount code earns nothing automatically. There is no payment for Joyal to see. If you want to reward those customers, add their points by hand. This catches out businesses that sell blocks of sessions, so it is worth knowing up front.

Customers who pay at the counter Their booking has already credited the points, so do not scan them in as well. Take the payment as usual and send them on their way. Worth telling whoever works the counter.

Adding a service later New services do not earn points until you tick them on the Joyal Code form. Go back to Intake Form Questions, open Joyal Code, tick the new service and save.

Points show as "pending" at first A booking that has not happened yet shows its points as pending. They are awarded after the session takes place, not at the moment of booking, so a customer who books and then cancels does not walk away with points for a session they never had.

Regenerate email address There is a link with this name in the Acuity connection section. Only use it if somebody at Joyal asks you to. It replaces your address immediately, and bookings stop earning points until you have pasted the new one into every calendar again.

And once more, because it matters Nobody at Joyal will ever ask you for your Acuity API key or your Acuity password. If you are ever asked for either, by email or otherwise, it is not us.

If you are curious

What is actually happening

You do not need any of this to set it up or to run it. It is here because people often want to know what they just built, and because it makes the whole thing easier to troubleshoot if it ever stops.

Three things change hands

Every step in this guide either creates one of these, or carries one of them from one place to the other. That round trip is the whole setup.

So Joyal knows which booking belongs to whom

Start to finish, one booking A customer opens the Booking tab in your app. Joyal quietly drops a code into the hidden Token question as they book, so the booking carries a label saying who they are. Acuity emails the confirmation to you and to your Joyal address at the same time. Joyal reads that email, matches the code to the customer, reads the price, and puts the points against their account as pending. After the session has taken place, the points are awarded.

Why an email, and not a direct connection Acuity's direct connection is a paid feature on their more expensive plans. The booking notification email is on every plan, including the cheapest, which means this works for you without paying Acuity anything more. It is also why Step 10 is the step everything depends on: no email, no points.

Joyal · Points for bookings · Acuity setup. If you get stuck on any step, send us the number of the step you are on and a photo of what you are seeing, and we will pick it up from there.
